How to start a workshop transcription session

Start a RoomRadar session in two clicks: Create workshop on home, then Starta on the connection screen once your tables have scanned the code. Every group's conversation is captured from the first minute.

To start a workshop transcription session in RoomRadar, press Skapa workshop on home. That makes a workshop with its first conversation already in it and lands you in that conversation, on its connection screen: the room code and QR code in a card at the top right, and a list that fills with tables as they scan. Press Starta when they are in. A single quick recording is exactly this, two clicks and a code, no plan; a full day with several parts starts the same way and grows from the workshop behind it. Start a session, step by step

Open home
Sign in and land on home: the welcome heading, one button, Skapa workshop, and your workshops as cards below it, a live one first, then the upcoming ones, then the past. Each card's frame says where the workshop stands: grey before it has begun, yellow while it is underway, green when every conversation is recorded. There is no sidebar on home; your profile sits in the header, and the search (a small Sök control) and the filter glyph sit at the right of the Workshops heading.

Press Skapa workshop
A workshop is created with one conversation in it, untitled, untimed, its room already claimed, and you land in that conversation on its connection screen, "Koppla upp grupperna". In the sidebar the workshop's row opens for a moment and folds closed: there is a workshop behind this conversation, and you never need to open it for a single recording.

Connect your tables
The room code and QR sit in a card at the top right; press the QR to show it large for the projector. Each table scans, allows the microphone, picks its row on the phone and appears in the list with the word "hörs" once it is heard, or "tyst" if the phone hears nothing. A table you planned in the conversation's sheet is already a row, marked "inte uppkopplad", until its phone takes it; the count above reads "2 av 5 grupper" against your account's group limit; see assign phones to breakout groups for the full walk-through.

Say what it is about, or skip it
Open the conversation's menu at the top right and choose Conversation info to say what it is about, "Vad ska samtalet handla om?". What you type there is what the live analysis reads while people talk. A name is never required.

Starta on the connection screen begins the meeting for every table at once and opens the live workspace; the code card flies into the top-right menu, where Anslut fler shows it again for a late table.

Creating a session vs. starting the meeting

Creating a session and starting the meeting are two different steps, and the distinction matters. Skapa workshop only opens the connection screen, an empty room with a code, ready for groups to join. Nothing is recorded or transcribed yet.

Starta on that screen is what actually begins the meeting. RoomRadar keeps it disabled until at least one group is in, and says so on hover: "Koppla upp minst en grupp först". A table still marked "inte uppkopplad" or "tyst" does not stop you, it just is not heard yet. Once you press it, transcription runs for every table in parallel and the clock starts.

Groups can join and test their audio before you press Start. Send the room code out a few minutes early so every table is already connected and confirmed when the workshop officially begins.

What "live" captures

Once you press Start, RoomRadar transcribes every connected group's table in parallel and in real time. Each group gets its own page with its transcript and its analysis, and Översikt builds theme rows and a timeline across all groups as the discussion develops. Two conversations of the same workshop may run at once. Opening a second one from the plan (Öppna on its block) while the first is still running does not touch the first. Pressing Starta on the second one's connection screen asks once, "Övning 1, i grupp pågår fortfarande. Stoppa den först?": Låt båda pågå starts the second beside the first, Stoppa och starta stops the first and then starts. Nothing is stopped without asking.

Rooms you prepared but never started

Every conversation in a workshop has its own room and code from the moment it exists, and the room is kept for as long as that part is in the plan. Nothing is swept, nothing needs locking: a QR code you print for next week works next week. The price is that every Skapa workshop you press makes a workshop; one you do not want is one card on home, deleted from its menu (the dots at the foot of the card, or a right click) with Ta bort workshop.

FAQ

Do I need to name the session before starting?

No. The sheet's name field is optional; an unnamed conversation shows as "Samtal 1" inside its workshop and the workshop as "Namnlös workshop" on home, with the date. Rename either from its title whenever you like.

Can groups connect before I click Start?

Yes, and it is worth doing. Groups can join and confirm their audio while the session is idle; pressing Start just begins the actual transcription and timeline once every connected group is ready.

What happens if I close the tab after creating a session?

The workshop and its room stay. Open the row on home and press Starta again; the code is the same.

I printed the QR code. Will the room still be there next week?

Yes. A room that belongs to a part of a workshop is kept as long as the part exists. Delete the part or the workshop and the room goes with it.

Where did Starta samtal go?

Into Skapa workshop. The quick recording is the same two clicks: Skapa workshop lands you on the new conversation's connection screen, and Starta there begins it. The workshop behind it is one closed row in the sidebar until you want it.
