Assign phones to breakout groups
Organize which phone belongs to which table: name each group, keep it to one phone per group, and use the connect panel to add more groups as they arrive.

Assigning phones to breakout groups in RoomRadar means one thing in practice: each table's phone opens the same room code or QR, and each one that joins becomes its own group in the workspace. This guide covers the two things worth doing deliberately, naming each group so it matches the table, and keeping it to one phone per group, plus how to add more groups as latecomers arrive.
Open the connect panel
From the live workspace, click Connect groups (the same button covered in connect phones as table mics). It opens with an In person tab selected by default, showing the room code, the QR code, and a participant link. Every phone that scans that QR or enters that code becomes a new, separate group the moment it connects, there is no separate "add a group" step.
Name each group after its table
Keep it to one phone per group
Each group is meant to be captured by a single phone. Connecting a second phone through the normal QR or code flow creates a new, separate group rather than adding a second microphone to an existing one, so if a table's phone dies mid-session, do not just scan the code again on a spare. That would start a fresh, empty group instead of continuing the table's existing transcript. Use swap or reconnect a phone to link a spare device to the table's existing group instead.
If you genuinely want a second, independent audio source in the room, for example your own laptop or phone as an extra pickup, connect it from the same panel; it will show up as its own group, which is expected.
Control who can still join
The connect panel has an Allow joining toggle. Leave it on while people are still arriving so latecomers can scan the code and get their own group. Turn it off once every table is connected to stop new groups from forming by accident, useful if you want to reuse the same room code for a private follow-up later without opening it back up to anyone with the link.

Yes. The connect panel also has a Digital tab that lets a bot join a Zoom, Teams, or Meet call as its own group, alongside any physical tables in the same session.
They become two separate groups, both listening to the same table. Disconnect the extra one from its group menu so you are not tracking duplicate audio for one table.
Physical groups are limited by how many phones you bring. Digital groups (meeting bots) are capped per session, the connect panel shows how many slots remain when you add one.
