Plan what the breakout groups will see

Write the instructions, questions and countdowns for each conversation the day before: the Till grupperna row on a conversation sends them to the tables' phones at start, after a set number of minutes, at a clock time, or when you press Skicka nu.

To plan what breakout groups will see on their phones, open a conversation's sheet in the plan and use the Till grupperna row: each planned send is a screen text, a question or a timer, addressed to all tables or some, and timed "vid start", "efter 10 min", at a clock time, or "manuellt". Once the conversation is running RoomRadar delivers each one when it is due, to every phone it names, and the live panel lists them under "Planerat för det här samtalet" with a Skicka nu for the ones you want early or again. The instructions you would otherwise type at the front of the room while twelve tables wait are written the evening before.

Where the row is

In Förberedelse, open a conversation block's sheet (the gear) and its Grupper section. Under the tables sits a closed row that states its own state: "Till grupperna · inget planerat", or "Till grupperna · 3 planerade". Open it and each send is one line, the kind's glyph, its first words, who gets it and when: "Timer 10 min Diskutera · alla · efter 10 min". A trash glyph on hover removes one; a click opens it to change.

The composer opens as "Nytt till grupperna", one thing at a time. The kind is three chips at the top: Skärmtext, Fråga, Timer.

Write the content
A screen text is one field, "Vad ska grupperna se?". A question is "Frågan" plus two to six answers ("Svar 1", "Svar 2", Lägg till svar). A timer is a number of minutes and an optional heading, "Rubrik (valfritt)", the line that shows above the countdown.

Choose who gets it
Till is a row of chips: "alla", then each planned table by name. Pick one or several tables when only they should see it, or leave "alla".

Choose when
När is four chips: "vid start" goes out the moment you press Starta on the connection screen; "efter" takes a number of minutes after the start; "klockan" takes a time of day; "manuellt" waits for your Skicka nu in the live panel. A timer planned "efter 20 min" is the classic: the countdown appears on every table when the exercise's last stretch begins.

The row's count goes up and a small pill says "Tillagt till grupperna" with Ångra. Nothing is sent yet; nothing is ever sent before Starta.
Plan the sends and the tables together. A send addressed to "Bord 3" needs Bord 3 to exist, so set the Grupper stepper first ("Grupper · 4") and name the tables; then the Till chips have names to offer.

The conversation info can go out at start too

Tick Send the conversation info to the groups at start under the description, and what you wrote there (or each table's own topic, when the tables have their own) is shown on the tables' phones when the conversation starts. A new conversation has the box unticked, so nothing goes out unless you choose it. Ticked, it is listed first, as "Conversation info · everyone · at start", and counted in "To the groups · 2 planned". Pressing the row takes you to the box; the trash glyph on the row unticks it, with Undo. Unticked, nothing of the conversation info is sent to the phones and the row goes. With no conversation info written there is no row, since nothing would be sent.

On the day

Press Starta and the conversation runs; RoomRadar checks the plan and delivers each send when it is due, through the same path as Interagera med grupper, to every phone that is in and belongs to a table the send names ("alla" reaches every phone that is in, including one nobody linked to a table). A phone that joins after a send was due gets it as it joins, so a late table sees the same instruction as the others. Each phone gets a send once.

Open Interagera med grupper from the conversation's top-right menu and the planned sends are on top, under "Planerat för det här samtalet". A line that has not gone yet shows its trigger, "efter 10 min", with Skicka nu; a line that went shows "skickat 10:42" and Skicka igen. A manual send is simply a line waiting for your press. The other way round works too: anything you compose in the live panel on the spot has Spara i planen beside its send button, which puts it on this conversation's Till grupperna row as a manual send. That is how a good improvised instruction becomes part of the plan for next time.

Reusing a day

Duplicera dagen in the workshop's top-right menu copies the day's blocks to another date, and the planned sends come along: every copied conversation takes the sends of the block with the same kind and title on the source day, unless it already has some of its own. A day you run every month is planned once.

FAQ

Can I keep the conversation info off the groups' phones?

Yes, and a new conversation starts that way. If the box is ticked, untick Send the conversation info to the groups at start under the conversation's description. The description stays for the analysis, but the phones do not show it, and the "Conversation info" row leaves To the groups. You can still send anything by hand.

Can I plan a send while the conversation is already running?

Yes. Conversation info in the conversation's menu opens the same sheet; the Till grupperna row is there, minus the "vid start" chip since the start has passed. A send planned "efter 5 min" mid-conversation counts from the start, so use "klockan" or "manuellt" for something you want later.

What if nobody at a table has a phone in when a send is due?

The send is delivered to the phones that are in. A table whose phone joins later gets every send that was already due at the moment it joins, so nobody has to resend.

Does a planned question collect answers like a live one?

Yes. It is the same question on the phone and the same Results panel in the live modal as a question you send by hand.

Can two conversations share one send?

No, a send belongs to one conversation block. Plan it on each, or plan it once and use Duplicera to copy the block.

Where do I see what actually went out?

In the live panel's "Planerat för det här samtalet" list, each line reads "skickat 10:42" once it went, and stays that way in the recording. The tables' phones show it the moment it lands.
