RoomRadar processes workshop data inside the EU, keeps it encrypted, and never sells it or uses it to train AI. Here is how to control what is saved, for how long, and what to tell participants.

Save transcripts
In Settings, Save transcripts keeps the transcripts from your workshops so you can read, search, and analyse them afterwards. Turn it off to never store them.

Transcript retention
Transcript retention sets how long saved transcripts are kept before they are deleted automatically, from delete after one day, to a set number of days, to keep until you delete them yourself.

Secure mode

On the Business, Weekly Pass, and Enterprise plans, Secure mode (where enabled) routes transcription through Speechmatics and AI summaries through OpenRouter's EU region with zero data retention, so meeting text stays inside the EU for the most sensitive work. It does not cover image generation, presentations skip AI images entirely, and sketchnotes show a warning before generating since that step still uses a non-EU model.

Tell participants the conversation is being transcribed before you start. A single line at the top of the session is usually enough, and it keeps you on the right side of consent.

Can we keep meeting data fully isolated?

Yes, on the Business, Weekly Pass, or Enterprise plan with Secure mode (where enabled), which routes transcription and AI summaries through EU-based infrastructure so meeting text stays contained. Image generation is not covered by Secure mode.
